    Embedded AI refers to AI capabilities that are integrated directly into existing SaaS applications — often activated automatically or with minimal user action. Examples include:

    • Microsoft Copilot features in Office 365
    • Salesforce Einstein AI across the CRM
    • Notion AI for document generation
    • Slack AI for conversation summaries
    • Zoom AI Companion for meeting transcription

    Embedded AI creates a unique governance challenge: because it's part of an already-approved tool, it often bypasses the review process. But the AI features may change the tool's data handling (sending data to third-party models), introduce new vendor dependencies, or create compliance obligations that didn't exist with the non-AI version.

    Why it matters

    Your organization approved Salesforce. But did you approve Salesforce Einstein? Embedded AI features change the risk profile of tools that were already reviewed and approved under different assumptions.
